What we look at
Not a checklist of best practices, but your configuration as it stands today — and whether it still does what the organisation needs.
Configuration and structure
Categories, operator groups, permissions and standard solutions. Does the structure still match what the organisation looks like today, or what it looked like three reorganisations ago?
Modules you have but do not use
Almost every environment has licences sitting idle for something never configured: change management, asset management, contract management. We will say whether it is worth switching on after all.
Automation
What happens by hand that Events & Actions or an integration could take over. Work that comes back every week can almost always be automated.
Self-service portal and knowledge base
Forms that are wrong, a knowledge base that is out of date and searches that return nothing. The portal is the face of the IT department.
Reporting
Whether the numbers you steer on add up, and whether you can get out what you need: resolution times, workload, recurring calls.
Releases and backlog
Which functionality from recent TOPdesk updates is still switched off, and what keeps sliding because no fixed time is set aside for administration.

Written feedback
Within a week you get a short write-up: what is in good shape, what is missing and where the risk sits. Backed by what we saw in your own environment.
Improvement actions, in order
Concrete actions ranked by what returns the most for the least effort, each with an estimate of the hours involved. So you can decide for yourself what to pick up.
No obligation
The write-up is yours, including when you buy nothing further. You are perfectly able to carry out the improvements yourself — and if you do, the quick scan will still have been worth it. We would rather earn our money doing the work than writing it down.
Questions about the quick scan
Why is it free?
Because it is the fastest way for us to find out whether we can be of use to you, and the fastest way for you to find out whether we fit. An hour of our time does not weigh against a quotation process in which we are both guessing. Nothing is attached to it and we do not chase you afterwards.
How much preparation does it take?
Almost none. You do not have to prepare anything or supply documentation; the answer “I do not know” is information in itself. It does help if the participants come from different corners: an administrator and someone who does the work daily often see two different realities.
Do we have to give you access to our environment?
No. We run the session through screen sharing, so you hold the mouse and decide what we see. If you would rather give us read access because it is quicker, that works too — on a named account that you revoke yourself.
Is the quick scan part of a subscription?
From Managed upwards it is included as the annual TOPdesk check on configuration and processes, with improvement advice. Under Fully Managed we do that check twice a year and add an annual plan. The free quick scan up front stands apart from that: it is for everyone, including those who never become a client.
What if nothing comes out of it?
That happens, and then we say so. If your environment is in good shape and there is no backlog, you will have spent an hour confirming that — and we would rather hear it now than after sending a proposal that makes no sense.
