AureaDesk: dashboard and reporting for TOPdesk

Alongside the services we build and host AureaDesk: a ready-made dashboard that pulls tickets, changes, activities, assets, knowledge items and workload live from the TOPdesk API. Not a report file you have to load into a BI environment yourself, but a hosted web environment you sign in to.

Why we built it

In nearly every environment we take over, reporting works the same way: once a month somebody exports to Excel, pastes in some charts and circulates a PDF nobody opens. That costs hours and produces a snapshot.

Building a report costs hours

Exporting, cleaning and formatting again every month. Work that improves nothing about the environment, and that stops the moment the person who did it goes on holiday.

A BI project is not what you wanted

Power BI or Qlik can do it, but then you are buying licences, building data models and maintaining them. For making your own service desk legible that is a heavy instrument.

Figures without context say nothing

“53 open tickets” only becomes useful next to the trend, the split per team and the forecast of what is coming. Loose numbers lead to loose conclusions.

What you see

AureaDesk reads six TOPdesk modules and presents them in eight views, plus an overview screen that summarises them. One filter — period, department, team, agent — carries across every view.

  • Ticket management — intake, SLA compliance per priority, resolution time, longest waiting and first-line resolution, with a forecast from 7 days to 12 months.
  • Change management — changes and their underlying activities in one view.
  • Operations management — the work that is neither ticket nor change, but still costs capacity.
  • Asset management — per asset the number of tickets and changes, and their order in time. That shows whether failures appeared shortly after a change.
  • Knowledge base — knowledge items by status and visibility in the self-service portal, flagging items that are visible but have not been updated for 90 days.
  • Workload — the load per team and per agent, composed from several modules.
  • Wallboard — today's figures on a screen on the wall.
  • Reservations management — available as an optional extra.
Combined with administration

Which package includes it

If we handle your administration, AureaDesk is not something you have to arrange separately.

  • Monitor — the dashboard is the core of this package, with 4 hours of administration a week alongside it.
  • Fully Managed — included, and we use it ourselves for the monthly report and the SLA and XLA accounting.
  • Managed — included, and useful for seeing where our hours go.
