Every rate on one page
We publish our rates. That is unusual in this market, but it saves you a quotation process just to find out whether we fit your budget. These are the rates for 2026, all amounts excluding VAT. They are indexed on 1 January; under a running contract the rate at the start date applies.
Managed Services
Three packages, on a term of six or twelve months, invoiced monthly. Fully Managed starts at 32 hours a week; above that we agree a bespoke arrangement. What the difference is.

Hiring an experienced TOPdesk administrator usually costs more than €100 an hour, excluding VAT. Within our packages you sit below that: €77 to €90 per hour of administration.
And more is included. The AureaDesk Pro dashboard, worth €395 a month, and a thorough TOPdesk quick scan worth €245. From Managed upwards you also get a full TOPdesk check every year, and under Fully Managed the Expertise Desk is there as first point of contact for your organisation, for TOPdesk support questions as well as configuration questions.
On top of that you put over twelve years of TOPdesk experience to work from day one. No recruitment, no ramp-up, no knowledge that still has to be built.
All amounts excluding VAT. Hours are per week, calculated on four weeks to the month; the hourly rate in the last column is the monthly amount divided by those hours. The more hours you commit to, the lower that rate. Fully Managed sits slightly above Managed L per hour: that is where we are the first line, with an SLA, an XLA and the Expertise Desk. Pay the term up front in one instalment and another 5% comes off — and the hourly rate drops with it. The TOPdesk quick scan (worth €245) is free and without obligation for everyone, package or not. Work outside a subscription — a change proposal, a project or a prepaid bundle — is agreed per situation. How that works is set out on TOPdesk consultancy.

If you would rather not use one of these, we are happy to leave it out; the monthly amount stays the same. Under Fully Managed the hours cover everything: day-to-day administration, support, release checks, changes, integrations and reporting. No separate pots, so no argument afterwards, and the monthly review and the Administrator Hour are not deducted.
Training and coaching
Administrator Hour
A fixed online hour with your agents and key users, recorded. Included in Fully Managed every month.
Theme session
90 minutes on one topic: Events & Actions, reporting, the self-service portal, asset management or the knowledge base. Online.
Training half-day
Four hours of training in your own environment, up to six participants. Online.
Coaching your administrator
One to one, using your own backlog. Under Fully Managed this comes out of the monthly hours and costs nothing extra.
Add-ons to a subscription
Additional hours
Work beyond your package. We flag it before the hours run out, not afterwards on the invoice. The rate sits below the bundle rate and is agreed at the start.
Evening Expertise Desk
The Expertise Desk stays reachable between 17:00 and 21:00, and planned evening work — imports, migrations, rollouts that disrupt too much during the day — fits in that window. Not an on-call service.

Paying up front
Contracts run for six or twelve months and are invoiced monthly in advance. Pay the whole term in one instalment and 5% comes off the total.
Questions about pricing
Why is remote cheaper than on site?
Because with remote work every hour goes into the work itself. Someone who comes to you comes for half a day — even when the change takes twenty minutes, and travel time, presence and a diary shuffled around it all count. Functional administration is work that can be done almost entirely at a distance; by actually doing it that way you pay for the hours that really go in. Meetings on site are part of the arrangement and we do not bill them separately. The full breakdown — travel hours, mileage, idle time, agency margin — is on the how-we-work page.
Why does Fully Managed cost more than Managed?
Because more is included. Fully Managed comes with an SLA on response and resolution, an XLA on user experience, the Expertise Desk for first-line support and the Administrator Hour. Under Managed we agree a response time only, and first-line support stays with you.
Do you charge travel costs?
Not within the Benelux. Delivery is remote; meetings on site — a kick-off, a quarterly review, a training session — are part of the arrangement and we do not bill them separately. Further afield we agree the cost of a visit up front; the work itself is unaffected.
Are the prices negotiable?
The rates themselves are not — that is why they are published. Where there is room is in the form: a larger size costs less per hour of administration, and combining administration with a project saves reading-in time. That saves you money without other clients paying more for the same work.
How does indexation work?
Rates are indexed annually on 1 January based on the Dutch CBS index for business services, announced at least two months in advance. For a contract starting later in the year, the rate at the start date applies for the full term.
When do we get the invoice?
Subscriptions are invoiced monthly in advance, with a 30-day payment term. Prepaid bundles are invoiced on purchase, projects according to the project plan. A term paid up front is invoiced in one go, with 5% off the total.
